Job Description:
We are seeking a highly enthusiastic, detail-oriented and organized (Senior Project Coordinator / Junior
Project Manager) to join our dynamic team. The ideal candidate will be essential in helping the Head of
Operations carry out and complete a variety of projects and guarantee that cross-functional stakeholders
are involved in advancing projects objectives. This position requires strong communication skills and the
ability to manage multiple tasks simultaneously while collaborating with various stakeholders.

Job Responsibilities:

1. Assist the Head of Operations in all administrative functions and project tracking.
2. Coordinate project schedules, resources, equipment, and information.
3. Prepare and issue daily/weekly/monthly reports on agreed cut-off dates to assess the project
progress, shortfalls, concerns etc.
4. Maintain comprehensive projects documentation, plans, and reports.
5. Assign tasks to internal teams.
6. Make sure that clients’ needs are met.
7. Ensure timely response to requests for services.
8. Monitor project progress and handle any issues that arise.
9. Manage relationships with operations teams.
10. Ensuring KPIs, SLAs, SOPs are in place and targets are met at all levels.
11. Take the necessary action regarding audit and client feedback.
12. Ensure Client receiving the service correctly and ensure obtaining the client receipt report
correctly.
13. Act as the point of contact and communicate project status to all stakeholders.
14. Use tools to monitor working hours, plans and expenditures.
15. Ensure standards and requirements are met through conducting quality assurance tests.
16. Coordinate with contractors, vendors, and stakeholders to ensure projects are completed on time and within budget.
17. Report and escalate issues to the Head of Operations as needed.
18. Organize, attend, and participate in stakeholder meetings.
19. Ensure project deadlines are met.
20. Provide regular reports summarizing progress against targets set at initiation phases.

Job Requirements:
1. Bachelor’s degree in business administration, Engineering, Project Management, or a related field.
2. 5 -10 years of experience in project coordination and management, preferably within the
facilities management, administration, operations management.
3. Fluent in English (both written and spoken) at a near-native or native level.
4. Hands-on experience with project management tools.
5. PMP / PRINCE2 or CAPM certification is a plus.
6. Experience in project management, operations, executive assistance, or related roles (preferably
in startups, facility management, operations, or dynamic environments).
7. Strong organizational skills—able to prioritize, structure, and manage multiple tasks and projects
simultaneously.
8. Experience preparing professional reports, presentations, and project documentation.
9. Eagerness to learn and grow into a more senior role over time.
10. Strong client-facing and teamwork skills.
11. Proficient in Microsoft Office Suite, with strong capabilities in Excel and Project Management
software.
12. Ability to work under pressure and meet deadlines.
